Jellybeans Before and After School Club and Summer Holiday Club 2026 — Contract with Parents/Carers, Terms and Conditions 2026-2027.
The following are the terms and conditions for your child/children attending Jellybeans Out of School Club or Summer Holiday Club with effect from 20th July 2026
Registration & sessions
All children who wish to attend Jellybeans Out of School Club will be required to complete a registration form prior to admission to the club. A non-refundable £10.00 Registration Fee is required to book a place at Jellybeans and is payable upon your first registration only. Places are to be booked for each school half term.
- The Breakfast Club session will run from 7.30am to 8.50am each week day during term time. The cost per session will be £7.95 and will include breakfast cereals, toast and water/fruit juice/milk.
- The After School Club short session will run from 3.15pm (St Marys)/3.30pm (Holy Trinity) each week day during term time. The cost per session will be £8.95 and will include a healthy snack and a drink. Where parents are more than 10 minutes late the full session fee of £11.25 will apply.
- The After School Club full session will run from 3.15pm (St Marys)/3.30pm (Holy Trinity) to 5.45pm each week day during term time. The cost per session will be £11.25 and will include a healthy snack and a drink.
- Holiday Club will operate from 8am to 5.30pm for the weeks advertised. Fees: £34.00 full day session (8am-5.30pm); £20.00 half day morning session (8am-12.30pm), £20.00 half day afternoon session (1.30pm-5.30pm), £4 lunchtime option to extend a half-day session (12.30pm-1.30pm). Breakfast will be served until 9.30am; Afternoon snack will be approx. 3.30-4.00pm. Lunch time Session – children will be required to bring with them a packed lunch from home.
Fresh drinking water or sugar free juice will be available at all sessions.
Late collection charges
After School Club
Where parents are late collecting their child/children on more than two occasions, a late collection fee will be chargeable per child and will be applied to the following month’s invoice. This will be:
- Short session booked – collections after 5.10pm will be charged the full session fee of £11.25
- Full session booked – £12 per child (£6 for siblings) will be charged for late collections after 5.45pm up to 6.00pm
- After 6.00pm there will be a charge of £12 per 10 minutes.
This is to cover the cost of two members of staff who will have to remain on duty plus additional charges we have to pay for staying on site outside our rental agreement. Parents must telephone the centre mobile telephone well in advance if there is an unavoidable reason for lateness. Late fees will still be applied.
Holiday Club:
- After the morning session: Where children have not been collected by 12.30pm, the lunch time rate (£4) will be applied.
- After the lunch time session: Where parents are more than 15 minutes late collecting after the lunch session, the full day rate will be applied.
Where children are not collected within 30 minutes of a session ending, and contact with parents or emergency contacts cannot be made, we have a legal duty to inform the Duty Social Services team who will then take responsibility for your child/children.
Fees payable
Monthly fees invoices will be emailed around the 25th of the month. Fees are payable monthly in advance for all booked sessions. Additional sessions attended during the month, will be added to the following month’s fees.
Holiday Club invoices will be issued in advance and due for payment before the holiday club commences. Any extra sessions must be paid for in advance in cash – given to the senior in charge.
Payment can usually only be made via
- childcare voucher
- Bank transfer (Sort Code 204545, Account No 90026360)
Refunds of fees where sessions are cancelled without appropriate notice will not usually be given unless in exceptional circumstances, please speak to the manager if you wish to discuss this.
N.B. Fees are payable in full for all sessions booked regardless of the reason for non-attendance.
Late Payment of Fees
Where fees remain unpaid after 7 days, a first late fee reminder email will be sent. Where fees remain unpaid for 14 days, then a second late fee reminder email will be sent. A £10 late payment charge will be applied the following month. Non-payment of fees for more than two weeks will result in your child’s place being suspended until all fees and late charges are paid up to date. If you are experiencing any financial difficulties, please speak to Karen Alker in the first instance.
Safeguarding
As part of our safeguarding procedures, we have an obligation to telephone parents when children fail to turn up when they are expected for an After School session. Therefore, it is essential that you telephone or text the Duty Mobile to inform them that your child will be absent from a session, or if they are involved in a school arranged activity after school. You can send a text message to the duty mobile at any time of day, as this will be checked at the start of every session. Where children do not arrive after school, and parents cannot be contacted, we have a legal obligation under our Ofsted Registration to contact Social Services and the Police to report a missing child.

Collection/password
To ensure the safety of all children who attend Jellybeans Out of School Club we require a named person/s who will be collecting your child from the club on a regular basis. This information will be required on the registration form with a password. Please note that we will not hand over any child without either prior permission or the password. Parents will be contacted to clarify that this person has your authorisation to collect on your behalf where we have not had prior notification or they do not know the security password. It is important that we are fully informed of any changes in your child’s health or domestic arrangements.
Injury
Should your child incur an injury in our care, every effort will be made to contact the parent/guardian. Immediate first aid will be given, and where appropriate the emergency services will be contacted. Children will be accompanied by a trained first aider to the hospital should this situation arise.
Trips/Visits: Holiday Club
Occasionally, (usually Holiday Club) we do go off site in the immediate local area at certain times during the week. All children will be appropriately supervised and strict staff to children ratios will be maintained at all times. Where a child puts themselves or others in danger, we will have no choice but to return to the centre. A member of staff will have the duty mobile with them at all times in case of emergency or parents needing to contact Jellybeans. Where longer trips or visits are planned, separate parental consent will be sought. A full and thorough risk assessment of all off site (and on site) activities will be carried out prior to the trip/visit occurring. No child will be allowed to leave the site unaccompanied at any time.
Food and Drink: Holiday Club
In order to meet and maintain food hygiene legislation, we request that packed lunches brought in for the Holiday Club are clearly labelled and have an ice pack in them to ensure that food remains chilled. All packed lunches will be kept in a cool room and eaten during the lunch period 12.30pm-1.30pm. All food that we serve at Breakfast and Snack time will be healthy. Water will be freely available throughout the day. Please advise us of any particular food allergies/intolerances.
Food and Drink: Before and After School Club
We request that children do not bring in or consume any food/drink brought in from home whilst attending Jellybeans Before and After School Club. Please advise us of any food allergies/intolerances.
Behaviour Management
Everybody is encouraged to treat each other with care and respect and behave in a manner that is acceptable. Children who attend Jellybeans out of School Club are supported to develop their own code of behaviour which is displayed within the club. It is our policy that all staff treat the children with respect, and that behaviour is managed within a positive framework. Unacceptable behaviour will be challenged and dealt with appropriately by staff. For repeated unacceptable behaviour, parents will be informed and may be invited to attend a meeting with the Manager for a Behaviour Management Plan to be agreed. In extreme circumstances, where there is repeated contravention of the Behaviour Management Plan, a period of withdrawal from the setting may be necessary.
Abuse, threats or offensive behaviour will not be tolerated by children and/or their parents/carers. Jellybeans Out of School Club reserves the right to refuse or withdraw the place within the club immediately.
Illness
Where children have shown symptoms of vomiting and/or diarrhoea they should not attend Jellybeans until 48 hours after their last symptoms (in line with school policy). If your child is suffering from a known infectious disease, they should not attend until after the contagious period. Please inform us should your child present with an infectious disease as we have responsibilities as directed by current health and safety legislation. Should your child become ill whilst attending a session, parents, or (where unobtainable) a nominated emergency contact will be contacted to collect your child.
Personal Property
Children’s own mobile phones, electronic devices, toys, magazines or books should not be brought into the club. Jellybeans Out of School Club cannot be held responsible for any loss or damage to a child’s personal property.
School Closure
Where there is a planned closure during term time for INSET training organised by school, Jellybeans Out of School Club will be closed. Fees will not be payable for this day.
Where there is an unexpected official school closure due to inclement weather, flooding or industrial action, Jellybeans Out of School Club will be closed. Parents will be contacted to collect children as soon as possible. Fees already paid for affected sessions will be credited. Where school officially remains open during inclement weather for example due to heavy snow, Jellybeans will also remain open and all fees are payable as normal.
Cancellation of Place
If you no longer require a place, Jellybeans Out of School Club require 4 weeks’ notice in writing. Fees are payable to the end of the period of notice. Please speak to a member of staff if you wish to give notice.
Complaints Procedure
If you or your child are unhappy with the service provided or a member of staff, please discuss your concerns in the first instance with the Manager (Karen Alker). Your concern will be treated with respect and confidentially. Parents/carers/children also have the right to make a complaint to Ofsted on: Telephone: 0300 123 1231 or online via email.

Agreement
I have read, understand and agree to the Terms and Conditions of the Contract with Jellybeans Out of School Club.
